Terms of Service

These terms cover the Tradevero CRM, its portals at portal.tradevero.nz and the CheckSetDone phone app (the system). Tradevero owns and runs the system. By signing in, on the website or in the app, you agree to these terms. If you do not agree, do not use the system.

Who can use it

Only people Tradevero has given a login to: Tradevero staff, the providers Tradevero works with and their members, and the clients whose sites Tradevero looks after. Tradevero decides who gets a login, what role it has, and when it ends. There is no self sign-up.

Your account

  • Keep your password and the sign-in codes to yourself. Every action taken with your login counts as yours.
  • Tell Tradevero straight away if you think someone else has used your login.
  • Give correct details and keep them up to date. Tradevero relies on the phone number and email address on your profile to reach you.
  • Tradevero can suspend or remove a login at any time to protect the business, its customers or other users.

How you use it

Use the system only for Tradevero's work. Do not:

  • copy, export or share records with anyone who is not entitled to them
  • enter information you know is false or that you have no right to hold
  • try to reach data your role does not show you, or interfere with how the system runs
  • upload files that carry malware or that break the law
  • use the system to harass anyone or to send unwanted messages
  • delete a chat, a record or a file to hide something from Tradevero or from a customer

Deleting a chat removes it for everyone in it. Tradevero keeps a history of changes and sign-ins and reviews it when something looks wrong.

Providers

If you deliver cleaning services with Tradevero, the contracts, offers, commitments and guarantees you accept in the portal are binding in the same way as a signed document. Job logs, check-ins, photos and videos you submit must be truthful and must show the site and the work they are logged against. A checklist line marked required is done and ticked, and where the line asks for a photo the photo shows that line's work, before the visit is logged. Your separate provider agreement with Tradevero sets out payment, insurance and standards. Where that agreement and these terms differ, the agreement wins.

Quality Control

Tradevero's Quality Control Officers audit sites. An audit is Tradevero's own record of a clean: a rating and a note on each checklist line, photos, an overall rating and feedback. Officers write what they saw. Tradevero decides what follows from an audit under the provider agreement and the client's service agreement, and can change or close an audit. Clients read the audits on their sites. Providers are told by Tradevero, not by the system.

A rating is a different thing from an audit. Tradevero staff, a Quality Control Officer and a client's reviewers can rate a finished visit: a score out of ten on each checklist line, an overall score, feedback, and photos or videos. Each person rates a visit once and can change what they gave. The provider whose work it is reads every rating of that visit and is told the score and who gave it. Rating is optional; nobody is required to leave one.

A day that fell due and was never started carries no score, because no work was done. The same people can write about it instead: what happened, whether it counts against the provider, and photos. Each person writes once and can change what they wrote. The provider reads it and is told when somebody writes, and cannot change it. Whether a missed day counts against a provider is a judgement Tradevero makes on the record, not an automatic penalty.

The attendance sheet reads the same record. A day the provider finished reads present, a day nobody started reads absent, and a day that was due with neither reads not marked. Tradevero and a Quality Control Officer can mark a day by hand, and that mark wins over the reading and names the person who made it. A provider reads their own sheet, and a client's reviewers read the sheet for their own sites. Nobody outside Tradevero changes it. If a day reads wrong, tell us and we will look at it.

Clients

If you are a customer, the portal shows the sites, providers, visits, quality checks and contracts that apply to you. Ratings, sign-offs and tickets you submit go to Tradevero and to the provider involved. Your service agreement with Tradevero sets out pricing and scope.

The phone app

The app is the same system on your phone and these terms apply to it in full. Keep the app up to date: an old version can stop working when the system changes. Push notifications, the camera and your photo library are used only when you turn them on or press the button that asks for them, and you can turn notifications off in your phone's settings at any time. Photos and videos taken in the app for a visit, an audit, a task or a chat belong to the record they were taken for.

Content and ownership

Tradevero owns the system and the business records in it. You keep ownership of files you upload, and you let Tradevero store, show and use them to run the work. Do not upload anything you do not have the right to share.

Availability

Tradevero aims to keep the system running at all times but does not promise it. Updates, hosting incidents and maintenance can interrupt it. The system backs itself up every 5 hours. Keep your own copy of anything you cannot afford to lose.

Liability

The system is provided as it is. To the extent the law allows, Tradevero is not liable for loss that comes from using the system or from being unable to use it, including lost profit, lost data or lost time. Nothing in these terms limits rights you have under the Consumer Guarantees Act 1993 or the Fair Trading Act 1986 where they apply.

Privacy

The Privacy Policy explains what the system stores about you and who sees it. It forms part of these terms.

Changes

When these terms change, the date at the top changes and the new version applies from then. If you keep using the system after that date, you accept the change.

Law

New Zealand law governs these terms, and the courts of New Zealand decide any dispute about them.
